Sub: Release of accommodation out of Emergency Quota

Detailed guidelines for streamlining the procedure for release of
accommodation out of emergency quota were issued vide Commercial
Circular no, 10 of 2011 which have been reiterated from time to time.
Instances of attempt to get the accommodation released out of Emergency
Quota unauthorisedly have been brought to the notice of this office

2. _It is therefore, desired that following guidelines should be followed
scrupulous

i. The existing guidelines regarding allotment of Emergency Quota issued
from time to time should be followed in true spirit.
ii, The written requests for release of berths/seats out of Emergency Quota

iii, In all the requisitions received for release of accommodation out of
Emergency Quota, the signatory should be asked to mention his/her
name.designation, telephone no./mobile no. and mobile number of a no./mobile no. and mobile number of any
ongofthepassenger. SS
iv. Every Officer/Section Federation will maintain a register containing the
details of application for Emergency Quota, in which all such requests
shall be diarised indeating थी he joumey GE a alld ralso the source
from whom the request has been received. The diary number of the
request entered in the register shall also be indicated on the requests for
Emergency Quota,
४, It would be the responsibility of the person forwarding or signing the
Tequisition to ensure the credentials of the party travelling.
vi. Requests for release of berths out of Emergency Quota received from

p i, Periodic inspections by officers at all levels should be conducted at PRS

Vili. With a view to prevent the malpractices, reservation requests received

where there is doubt about the genuineness of the requests/letier, the

for ensuring the genuineness of the requisition. ‘The requisition

ix. In no case any officer should give the blank signed requisition forms to
his personne! staff for release of berths out of Emergency Quota.

x. Record of all requisition slip may be kept for 3 months from the date of
journey. ~~ a

3. Necessary instructions may be issued to all concemed accordingly.
