With reference to above subject, please find enclosed herewith copy of HQ letter under reference in connection with implementation of ESM & e-CR in e-Coaching Balance sheet w.e.f 01/10/2022.

All DCMIs/CMIs are instructed to kindly ensure daily preparation of online coaching balance sheet along with e-CR at your beat station and discontinue preparing manual CR note w.e.f. 01/10/2022. Only e-CR to be prepared where all coaching earnings are being accounted in the UTS. Printout of e-CR to be submitted to cash office in place of manual CR note along with all annexure. In case of any discrepancy faced in preparation of e-CR/balance sheet, the same should be brought to the notice of UTS console (mob-9004490978, Auto- 09022524 & 09023548) immediately. Delay in preparation and submission of the same on behalf of station/location will be taken under DAR action against concerned responsible staff.

With reference to the above subject, as per Board’s directive CRIS has incorporated two new functionalities ESM (Error Sheet Module) & e-CR Note generation in Coaching Balance Sheet. These new applications will be released in on-line Balance Sheet Application on 06.10.2022 w.e.f. 01.10.2022. All UTS balance sheet locations should finalize and submit the September-2022 month balance sheet on or before 05.10.2022 so that new balance sheet application can be released on 06.10.2022.

It is advised that all UTS locations should discontinue preparing manual CR note w.e.f. 01.10.2022. Only e-CR to be prepared where all coaching earnings are being accounted in the UTS.

Further, Traffic Accounts Office, Ajmer advised that as per codal provisions only one CR for cash as well as vouchers is to be prepared by the stations. System will generate only one e-CR for a day for cash and vouchers and the same should be sent to respective Cash offices. Cash Offices should send the vouchers to the Traffic Accounts Office periodically on 13th, 23rd & 3rd of the following month through commercial couriers.

Following points to be noted to avoid mistakes in e-CR Note :

1. All Station Pay Orders are to be prepared in UTS through money receipt.

2. All transactions are to be done through UTS and manual transactions should be avoided.

3. Locations should enter correct details of challan in e-CR Note.

4. Before generating e-CR Note station staff should check and verify all the entries are correct as per remittance.

5. All locations should prepare daily e-Coaching balance Sheet on day to day basis and verify the debit & credit side figures are tallied.

For the successful implementation of e-CR Note, it is of utmost importance that the station staff should be very care
