With reference to above subject, please find enclosed herewith copy of HQ letter under reference in connection with discontinuation of Manual Coaching Balance Sheet w.e.f. 01/08/2022.

All DCMIs/CMIs are instructed to kindly ensure daily preparation of online coaching balance sheet at your beat station. In case of any discrepancy faced in preparation of balance sheet, the same should be brought to the notice of UTS console immediately.

Delay in preparation and submission of online coaching balance sheet on behalf of station/location will be taken under DAR action against concerned responsible staff.

No. C 548/2/5/19 B.Sheet Date: 14.07.2022 Sr.DCM - BCT/BRC/ADI/RJT/RTM/BVP Sub: Discontinuation of Manual Coaching Balance Sheet.

Ref: CAO (PTS) NDLS letter No.CAO/PTS/136/OCBS/2021) dtd. 27.01.2021 In reference to above subject, presently online e-Coaching Balance Sheet is prepared by all the 490 active UTS locations. However these stations are also preparing manual Balance Sheet along with online e-coaching Balance Sheet & submit the same to Dy. CAO (TA), Ajmer despite achieving 100% online e-Coaching Balance Sheet through UTS. Preparation of dual Balance Sheet results in duplication of work and wastage of precious man power. Therefore, it is decided that all UTS locations should discontinue preparing manual Coaching Balance Sheet with effect from 1st August 2022.

Only online Coaching Balance Sheet to be prepared covering all coaching earnings at the station (UTS, PRS, Parcel, Luggage etc. ) and hard copy of online Coaching Balance Sheet to be submitted to Accounts office within the prescribed date.

It is also seen that there is delay in preparation of Daily online Coaching Balance Sheet by locations, resulting in delay in reporting of system errors. It is advised that daily online Coaching Balance Sheet should be prepared on the following day and bugs if any noticed should be reported immediately. After reporting of discrepancies related to online Coaching Balance Sheet to CRIS, it takes time to fix the bugs from CRIS side. Hence it is desired that discrepancies/ grievances related to online Coaching Balance Sheet should be reported to UTS Console on day to day basis.

Since it is combined Coaching Balance Sheet covering UTS, PRS, Parcel, Luggage etc., all outstanding dues should be cleared only through UTS Money Receipt.

Instructions for completion of the Online Coaching Balance Sheet and submission of the same to Accounts on time should be issued to all concerned and compliance in this regard may be ensured.
