Sub: Implementation of e-TR (Electric Treasury Remittance) Note in Station Coaching Balance Sheet.

Ref: 1. Dy. CCM /PTS Letter dtd 11-12-2024.

2. JPO issued by RB vide letter No. 2024/AC-II/45/2 dated 04.12.2024.

Apropos above subject, it is advised Railway Board vide letter dated 04.12.2024 has issued procedural guidelines for the implementation of the e-TR (Electronic Treasury Remittance) Note in the Station Coaching Balance Sheet, it is mandated that the e- TR Note will be implemented by the divisions, effective from 01.01.2025. The copy of E TR is also enclosed for reference of all concerned.

In view of the above, please note the following;

1. The system generated E-TR Notes will be prepared by the stations in three copies duly filling the information on the Cash to be remitted alongwith the details of the denominations of the currency notes remitted duly signed and stamped by the concerned station authority.

2. Similarly, the E-TR Note for the instruments shall be filled with the correct information of the instruments collected duly signed and stamped by the concerned station authority.

3. Separate E-TR Notes for Cash and Instruments shall be prepared and printed in three copies without using the carbon paper. (Specimen copies of E TR for Cash and E TR for Instruments attached).

4. The authorized custodian of the Bank shall check that all the details are correctly filled and the amount to be remitted is mentioned clearly in Numbers as well as in Words.

5. The procedure as defined in the para 6.7 of the agreement “Treasury Remittance Notes” in respect of submission of TR Notes shall continue.

6. The Bank authorities are supposed to ensure that they acknowledge any Treasury Remittance Note which is prepared correctly and completely by the Station authorities.(Para 6.12 of the agreement).

7. The Bank will arrange for the proper Stamp and Seal for the purpose of giving acknowledgement by the Bank’s authorized representative at the time of collection at the pickup point.

8. As a precautionary measure to avoid any fraudulent practice, the Bank is requested to furnish the image of the acknowledgement seal/stamp used by the authorized representative for on the spot verification at the Pickup point.

(Para 6.7 of the agreement). The same shall be advised to all Pickup points of WR.

9. All other modalities for Cash & instrument pickup as per the agreement shall remain in force.

10. The existing TR Notes printed book shall be replaced with the system generated print of E Treasury Remittance w.e.f 01-01-2025. However, the Pre-printed Treasury Remittance Note shall also be used till the E TR Model is fully implemented. Also, Pre-printed Treasury Remittance Notes shall be used only in case of exigencies mentioned in the Railway Board guidelines issued in this regard vide letter dated 4-12-2024.

11. The E TR Notes shall be printed on the White Sprocket/Round holes on both sides of the paper with the IR Monogram in the Centre and Western Railway written in English and Hindi at the bottom of the paper.
